Adoption Coordinator Job Application

We are specifically looking for an individual to fill this role who has experience working for a large, established animal welfare organization (ACC, Best Friends, ASPCA, etc).

Position Summary

This is a part-time position, approximately 15+ hours a week that includes one weekend day. The role of the Adoption Coordinator involves facilitating the adoption process by utilizing Good Home’s best practices and matchmaking abilities to secure permanent, caring homes for animals in need. Additional responsibilities are outlined below.

This role entails staffing our Cat Lounge and ensuring a positive experience for our visitors and prospective adopters by welcoming them and providing exceptional customer service. Additionally, a deep understanding of Good Home’s animals is essential for this position.

The ideal candidate should consider themselves a “people person”, a team player and possess qualities such as being positive, friendly, and capable of creating a positive environment for both shelter visitors and staff. It is expected that the Adoption Coordinator maintain a professional and positive demeanor at all times. 

The Adoption Counselor works DIRECTLY with the cats in our Cat Lounge and must be an experienced cat caretaker and possess a high comfort level with cats. 

Responsibilities & Duties

  • Assist with caring for the cats in the Lounge by maintaining a clean and presentable environment for the resident cats and our human guests. 

  • Greet and assist visitors to our Cat Lounge and provide impeccable customer service. As the first point of contact, you are expected to be a welcoming, courteous and respectful ambassador of our program.

  • Responsible for the entire adoption process, including but not limited to promoting pets, shelter pet matchmaking, application review, interviewing potential adopters and using sound judgement to place the pet in the best and most appropriate home.

  • Follow adoption guidelines and protocols in accordance with Good Home’s policies and procedures.

  • Provide information about Good Home’s policies, values, mission, programs, and events, to the public.

  • Provide information about the animals to potential adopters.

  • Share behavior information and shelter approved training techniques with adopters.

  • Manage and schedule “meet & greets” between prospective adopters and foster homes.

  • Willing and able to learn about animal behavior, and ways to deal with common challenges to match adopters with animals.

  • Provide post-adoption support and resources to adopters to ensure successful integration of the pet. 

  • Follow up on adoptions via email once the animal has been placed into a new home.

  • Maintain meticulous records including those for adoptions, follow-ups, and interactions with adopters, as well as intake data.

  • Capture photos of cats residing in the Lounge.

  • Create 2x weekly content for social media about our adoptable cats.

  • Work closely and effectively with the Director and Foster Coordinator.

  • Assist with answering correspondence and animal database record keeping.

  • Update animal records accurately and in detail.

  • Assist with cleaning the Lounge and equipment.

  • Assist with socialization of animals if needed.

  • Able to work as part of a team.

  • Able to take direction.

  • Able to self manage.

Experience & Job Requirements

  • Possess a passion for animals, especially cats.

  • A minimum of 2 years experience as an Adoption Counselor or Coordinator.

  • High School Diploma or equivalent. College degree strongly preferred.

  • Able to work on weekends and some holidays.

  • Experience with Animal Management databases.

  • Flexible under pressure with ability to work in a fast-paced environment.

  • Detail oriented, organized, and thorough in completing work tasks.

  • Be an active listener.
